Overview

The Boys & Girls Clubs of South Central Kansas provides fun, high-quality and enriching after-school and summer care for children who are in Kindergarten to 18 years old. Our program is uniquely designed to give children a safe place to play, learn and grow, foster encouraging relationships with caring role models, and build character and confidence. We are looking for a Membership Specialist join our team in Wichita, KS. 

 

PRIMARY FUNCTION:
A kind and courteous professional who is responsible for ensuring the organization is successfully administering a data management system, MyClubHub (Salesforce product), that is user friendly and meets the needs of employees and families. Manages and maintains an accurate accounting of membership, status, and program involvement for necessary reporting. Supports the COO by using a variety of project management, communication, and organizational skills.

Responsibilities

KEY ROLES (Essential Job Responsibilities):
MEMBER MANAGEMENT:
• Build out the enrollment process and ensure that BGCSCK is managing and ensuring data contained in member database system is accurate and up to date.
• Process State Insurance Vouchers submitted by eligible families.
• Monitor outstanding balances and make collection calls as necessary.
• Ensure staff are trained to effectively use MyClubHub and understand the importance of data validity.
• Provides customer service support to all BGCSCK families, including but not limited to enrollment/registration support and processing of fees.
• Compile regular reports reflecting activities, attendance, participation, outcomes, or other data as needed.
• Serve as the contact to BGCA for MyClubHub day-to-day usage and support for users. Make decisions regarding the need to escalate issues and report to appropriate contact(s) with BGCA. Communicate support needs to BGCA in a timely manner.
• Partner with BGCA to learn about new features as they are released, and ensure local users are aware of and trained on these features.
• Provide feedback on behalf of the organization to BGCA regarding MyClubHub enhancement requests.
• Collaborates with COO or CEO to develop and evaluate procedures relating to enrollment, payments, and reporting.
• Sets and achieves goals that increase efficiency within MyClubHub.
• Works in partnership with COO to develop, implement and evaluate a communication system between BGCSCK and parents/guardians using MyClubHub.

 

DATA MANAGEMENT
• Develop and implement procedures to ensure quality and data practices are adopted, ensuring appropriate protection of sensitive data.
• Creates and maintains programmatic scorecards using MyClubHub data to support quality discussions and decision making.
• Collaborates with the Operations teams to identify and resolve complex data issues in a timely and collaborative manner.
• Assist Operations in development of data collection and analysis, including but not limited to member and parent feedback surveys.
• Assist supervisor in providing required data to Club’s grantors to ensure on-time submission of reports and proposals.

 

ADDITIONAL RESPONSIBILITIES:
• Perform special assignments and assist with special projects as directed supervisor.
• Be an active and visible partner in events and activities.
• Actively participate in BGCA training, internal training, and team meetings.
• Assume other duties as assigned.

Qualifications

SKILLS/KNOWLEDGE REQUIRED:
• Two-Three years of experience or equivalent combination of education & experience; Bachelor’s degree from an accredited college or university preferred.
• A minimum of one to three years’ applicable database experience required; experience with Salesforce preferred.
• Highly detailed oriented with a critical degree of accuracy regarding data entry.
• Ability to take initiative, whether working alone or with a team.
• Exceptional customer relation skills, people skills, relationship management skills, and the ability to always represent the Club in a professional manner.
• Ability to troubleshoot common software and network issues independently.
• Ability to format and validate data, pull reports & have larger conversations around fields and unique identifiers.
• Can identify local training needs and create training pathways for local staff.
• Ability to plan, organize and manage complex initiatives with varied deliverables.
• Ability to juggle multiple projects at once and develop solutions to problems with limited supervision.
• Thrives in a fast-paced environment with excellent time-management skills.
• Prioritize conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
• Exceptional customer relation skills, interpersonal skills, relationship management skills, and the ability to always represent the Club in a professional manner.
• Strong oral and written communication skills with strong knowledge of Microsoft programs (Word, PowerPoint, Publisher, Excel, and Outlook).
