Overview

Under the direction of the Director of Operations the Unit Director, manages and provides daily oversight for the Lodi Clubhouse facility, its staff, volunteers, and partners.  Key areas of responsibility include providing leadership, facility management and operations, fiscal oversight, strategic planning, interpersonal skills, and relationship building.  The Unit Director serves as the primary leadership contact for all stakeholders who work and collaborate with the Lodi Clubhouse.

Responsibilities

KEY ROLES (Essential Job Responsibilities):

Leadership

  • Establish Unit or Branch programs, activities, and services that prepare youth for success and create an outcome-driven Club experience that facilitates achievement of youth development outcomes. This includes programs offered on weekdays, weekends, or during school breaks.
  • Ensure a healthy, safe environment, with well-maintained facilities, equipment, and supplies. This includes creating systems and forms to ensure that safety is the top priority.
  • Work with executive leadership and management staff to develop strategies to address key vulnerable access points in the building.
  • Exhibit proficient project management skills to ensure the effective coordination and integration of the programs and resources of the Clubhouse for BGCLBC programs and other stakeholders.
  • Provide support to staff in the areas related to planning, management, program execution, and communications.
  • Manage department supervisors and directors of the clubhouse using various management and leadership skills and influences to ensure club success.
  • Develop systems to streamline layers of communication with staff, volunteers, stakeholders, and the community.
  • Assist with fund development and reporting process.
  • Provide program staff with resources and day-to-day supervisory support necessary for them to effectively conduct programs and activities.
  • Ensure a positive, healthy, and safe environment for youth members and staff.
  • Recruit, orient, train, and supervise direct/indirect reports/volunteers/interns according to the organization's policies and procedures.
  • Provide staff with formal and informal evaluation and feedback.
  • Provide supportive leadership for employee relations through effective communications, coaching, training, and professional development.
  • Provide high executive solutions to facilitate faster improvements and improved working relationships.
  • Cultivate staff and volunteer’s ability to provide guidance, discipline, mentoring, and role modeling to youth members.
  • Conduct regular staff meetings and trainings.
  • Provide volunteer opportunities for mentoring relationships with youth and provide training aimed at leadership.
  • Interact with parents/guardians as needed to mitigate conflicts and problems.

 

 Facility Management & Operations

  • Ensure that administrative and operational systems run efficiently.
  • Manage various facility calendars, including but not limited to, or pool, gym, classrooms, bingo hall, facility rentals,
  • Establish a facility that is run efficiently, clean/sanitary, and safe environment conducive to a productive youth development, learning, and working environment.
  • Conduct regular meetings with staff, volunteers, and partners as needed.
  • Ensure that the established Boys & Girls Club youth development strategy is implemented, and rules and policies are enforced.
  • Ensure programs, services, and activities prepare youth for success, promote the safety of members, and quality and consistency in programs.
  • Responsible for scheduling the use of the Lodi Club facility. By internal and external groups.
  • Assists in working with executive leadership to develop service agreements for Lodi Clubhouse facilities.
  • Coordinate, manage, and interact with all rental groups and agencies.
  • Manage the safety, cleanliness, and maintenance of the facility.
  • Maintain an ongoing inventory of facility equipment and supplies.
  • Responsible for intramural and recreational sports (scheduling, uniforms, logistics, etc.)
  • Complete reports for BGCA, Government Agencies, and/or funders as needed.
  • Manage the transportation division and all aspects related to school buses/vehicles staying in compliance.
  • Assist with grant reporting requirements and fund development.

 

Fiscal oversight

 

  • Work with the Director of Operations to develop an annual budget for the Lodi Clubhouse.
  • Manage and track clubhouse financial expenses concerning the approved budget.
  • Conduct frequent spot checks to ensure that funds are being expended properly.
  • Provide recommendations regarding the budget to the Director of Operations for approval.
  • Complete and submit timely, accurate written reports.
  • Assist with grant reporting requirements and fund development.
  • Purchase or approve the purchase of supplies and equipment.

   

Strategic Planning

 

  • Work with executive leadership, management and Club staff to plan, develop, implement, and evaluate overall quality of programs and services to ensure they meet organizational objectives and youth needs and interests.
  • Compile regular reports, as directed, to include but not limited to, overall program participation, daily attendance, and membership.
  • Coordinate planning and execution of special events to ensure success. Communicate with all departments as necessary.
  • Participate in board meetings and committees as needed.
  • Make presentations to community agencies as needed.

 

Marketing and Public Relations

 

  • Cultivate relationships with parents, local schools, businesses and community leaders, other youth and educational organizations to enhance programs and partnerships.
  • Develop and maintain public relations to increase the visibility of programs, services, and activities within the Club and the community.

 

 

Interpersonal skills and Relationship-building

  • Establish good working relationships with all layers of staff to ensure that there are open lines of communication.
  • Exhibits a high level of empathy for staff, students, parents, and community members.
  • Adept at solving problems and getting buy-in from people.
  • Foster good working relationships with the local government and school officials and/or other community agencies to help build strong programs.
  • Develop strong relationships with third-party partners that utilize/rent the facility and/or to enhance youth programs.
  • Cultivate relationships with parents, community leaders, other youth, and educational organizations to enhance programs and partnerships.
  • Develop and maintain public relations to increase the visibility of programs, services, and activities within the Club and the community.
  • Is accepting of all people regardless of religious affiliation, sexual orientation, or socio-economic background.

 

Qualifications

SKILLS/KNOWLEDGE REQUIRED:

 

  • Four-year degree from an accredited college or university, or equivalent experience.
  • A minimum of five years’ work experience in a Boys and Girls Club or similar organization planning and supervising activities based on the developmental needs of young people, or equivalent experience.
    • Demonstrated ability in personnel supervision, facilities management, and the recruitment and retention of key personnel.
  • Strong communication skills, both oral and written.
  • Ability to recruit, train, supervise, and motivate staff.
  • Ability to deal effectively with members including discipline issues.
  • Ability to use computer and software systems.
  • Working knowledge of budget preparation, control, and management.
  • Certified Pool Operator Certificate (must be attained within 90 days of hiring).
  • NJ Pool Director Certificate (must be attained within 90 days of hiring).
  • Willingness to attain a CDL/School Bus Driver’s License a plus.
  • Certified CPR & First Aid Instructor (must be attained within 90 days of hiring)
  • Completion of Boys & Girls Clubs of American required trainings and certifications as assigned.
  • Completion of NJ DCF, NJ DOH, NJ OOL required trainings and certifications as assigned.
  • Demonstrated ability to work with young people, parents, and community leaders.
  • Valid Driver’s License.
