Overview

Responsible for the overall implementation and daily operation of designated school site, working in conjunction with school leadership.  Oversees any and all BGCH activities, programs and services in the school and manages collaboration of participating community partners and volunteers.  Ensures highest levels of program quality and implementation of a programmatic outcome-drive Club experience and measurement strategy with daily data that drives the Formula for Impact.  Supervises all BGCH staff and school site, coordinates and maintains community relations, membership and all related administration.

Responsibilities

  • Assure the functioning of all programs within the context of partnership and collaboration with the community and the school.
  • Develop, maintain and nurture relationship with school leadership.
  • Monitor quality of data input within database and ensure accurate and timely reporting.  Use this data to spot trends and make improvements.
  • Recruit, hire manage and train staff in conjunction with HR Director.
  • Develop programs that aim to develop students academically, socially, mentally and emotionally, ensure that programming is culturally and developmentally appropriate for the target group.
  • Create and manage the Advisory Council – encourage parent support and participation.
  • Develop parental involvement in school with dedicated activities, classes, events.
  • Represent BGCH and school at community meetings and events.
  • Monitor program expenditures; connect with BGCH accounting staff and local Board of Education financial staff regarding budget monitoring and reports; submit requests for budget revisions as needed.
  • Work in conjunction with Grant Manager to complete funding applications for supplemental project funds and project renewals.
  • Participates in training, seminars and conferences to increase professional knowledge and skills.
  • Ensure site is in compliance with all federal and state laws, licensing, grants and/or contracts as well as company specific policies and procedures and BGCA standards.
  • Develop and maintain the visibility of Club programs via posting of daily schedule, announcements of upcoming events and the dissemination of timely information through mailings, fliers and media releases.
  • Transport youth in BGCH vehicles as required.

Leadership

  • Recruit, onboard, manage and provide career development opportunities for staff and volunteers.
  • Conduct ongoing performance evaluations of staff, while coaching and counseling to improve performance and outcomes. Create development plans and goals to assist with continued career growth and advancement.
  • Observe and recommend training and shadowing opportunities for staff to help them advance their skills and future potential.
  • Ensure a productive work environment that encourages positive, effective working relationships and open communications, and is respectful of the gender and cultural diversity of Club staff, volunteers and members. Take prompt, appropriate action to respond to conflicts between staff members.
  • Ensure staff understand crisis management strategy and emergency procedures and follows them accordingly.
  • Ensure a healthy, fun and safe environment by ensuring facilities, equipment and supplies are maintained.
  • Demonstrate positive values, and ethical behavior at all times and during all interactions.
  • Attend and actively participates in School Director meetings and look for opportunities to work across the organization, share ideas and best practices and support one another for shared success.
  • Maintain close, daily contact with staff to ensure alignment with organizational mission and program objectives and standards. Discuss issues, and provide/receive information. 
  • Work with staff and families to deal effectively with young Club members including disciplinary issues.
  • Serve as both an advocate and coordinator between the Club/school and external community partners, parents and others to develop opportunities for youth, volunteer engagement, curriculum partnerships and more.
  • Develop and maintain public relations to promote awareness of the Club and stimulate interest Boys & Girls Clubs of Hartford.
  • Create workable, realistic plans for achieving desired outcomes.

Strategic Planning:

  • Stay current on nonprofit, school and community trends that may impact the Club site and/or our programming.
  • Contribute to operational strategic planning, providing perspective on school site operations, employee development and member needs to support strategic direction.
  • Plan, develop, implement and evaluate overall programs, services and activities to ensure they meet school and member needs and interests.
  • Develop recommendations for improvement of procedures, systems and programs and share those with the VP of Operations/COO.
  • Identify opportunities to prioritize and evolve relationships with community partners, organizations and parents in a way that benefits our youth and the Club as a whole and helps us move toward our desired future state.
  • Be proactive in planning for and communicating hiring needs and departures.
  • Conduct regular staff meetings to share information, encourage two-way communication and prompt staff to share ideas.
  • Recruit, maintain and hold monthly community and/or parent council meetings.
  • Develop collaborative partnerships with other Clubs, consultants and vendors, as well as youth serving, professional and/or nonprofit organizations, to maintain professional visibility and credibility within the community.
  • Work with school to create effective outreach programs to ensure membership goals are achieved and exceeded (enrollment, average daily attendance, etc.)
  • In partnership with Club leadership and the school, build a network of stakeholders and partners who can provide knowledge, skills development and experiential learning opportunities for members.

Resource Management:

  • Oversee and implement grant pertaining to the school site, ensuring compliance.
  • Work with Finance to prepare and implement annual budget, adjusting as needed throughout the year to control expenditures against budget.
  • Research, evaluate and propose new resources to enhance programming at school site.
  • Anticipates and predict s internal and external changes, trends and influences in order to effectively allocate resources and implement appropriate Club initiatives.

Other:

  • Maintains designated Club site areas within the school.
  • Performs other program and organization related assignments as services and needs change, evolve and grow.
  • Plans and implements special events and initiatives.
  • Facilitates programming as needed.
  • Attends all required trainings and meetings.

 

Supervisory Responsibility

This position supervises all BGCH school site staff.

Qualifications

  • Bachelor's degree from an accredited college or university or equivalent experience.
  • Minimum of 3 years working with youth in a group setting, experience managing programs or operations in a youth-serving agency a plus.
  • A minimum of 2 years’ experience working with the public school system.
  • Knowledge of the Hartford community and early childhood and family support providers preferred.
  • Skilled with after school enrichment programming.
  • Cultural competency in working with diverse populations.
  • Proven ability to communicate effectively (verbal and written) with a variety of constituents.
  • Understanding of and sensitivity to variant family values.
  • Ability to lead a collaborative team.
  • Ability to be a “self-starter” and work with minimal supervision.
  • Strong organizational skills.
  • Able to perform the essential functions of the position, with or without reasonable accommodations
  • PSL endorsement on a valid CT driver’s license is required or must be obtained within six months of employment
