Overview

Job Summary:

Responsible for all operations of the Elizabeth Correll Teen Center including, but not limited to: staffing, reporting, budgeting, building maintenance, membership, safety of staff and members, internal and external relationships, upholding and implementing all guidelines set forth by Elizabeth Correll Teen Center Operations Manual, and overseeing all programs and activities conducted by Activities Director and additional staff. 

Responsibilities

Duties and Responsibilities:

 

Daily member management:

  • Responsible for recruiting and retaining teen members.
  • Responsible for overseeing Front Desk Administrative Assistant ensuring member status, member payments, new members, and daily member attendance.
  • Responsible for running and reviewing daily KidTrax reports concerning member status, member payments, new memberships, and daily member attendance.
  • Orientating new members including, but not limited to: ensuring all membership forms are completed, quarterly payments paid in full, provide tour of facility.
  • Uphold and implement all guidelines set forth by the Elizabeth Correll Teen Center Behavior Code of Conduct.
  • Encourage member participation in daily programming.
  • Ensure a safe and positive environment for members.
  • Demonstrate leadership to assure conduct, safety and development of members.

 

Staffing:

  • Responsible for all recruiting, hiring, training, directing, and, if necessary,  termination of all paid teen center staff in accordance to the guidelines set forth in the Elizabeth Correll  Teen Center Operations Manual.
  • Responsible for upholding all staff to employee guidelines as set forth in the Elizabeth Correll Teen Center Operations Manual.
  • Responsible for scheduling work shifts for all teen center employees with exception of teen workers working under the Career Development Director.
  • Responsible for ensuring each staff member is fulfilling his/her designated duties as defined by his/her respective job descriptions.
  • Implement a minimum of one staff meeting per week  where all full time and part time staff attend.
  • Implement a minimum of one staff meeting per week for all full time staff to attend separate from the staff meeting involving full time and part time staff. 

 

Programming:

  • Responsible for reviewing and approving daily lesson plans.
  • Responsible for reviewing and approving all special activities.
  • Responsible for ensuring the implementation of all daily programming, daily special activities, and all special events organized.
  • Responsible for scheduling staff and approving extra hours for staff coverage of all special events.
  • Responsible for working in conjunction with Activities Director for recruiting volunteers and/or paid additional staff for special activities and events.
  • Responsible for electing nominee for Youth of the Year and completing and submitting all required paperwork by designated deadline.

 

Reporting and financials:

  • Gain knowledge and ability to operate KidTrax.
  • Provide reports including, but not limited to, attendance, ratios, accounts, and program participation.
  • Assist with the generation of reports needed to complete annual reports intended for board review.
  • Attend weekly meetings with the Executive Director and the Director of Operations to provide ongoing feedback.
  • Maintain proper record keeping and reporting including activities and events conducted, breakdowns of daily participations figures, notable achievements and any problems/issues for all areas of center.
  • Assist in developing yearly budget.
  • Adhere to expenditure guidelines and limitations set forth by yearly budget.
  • Prepare and complete bank deposits.
  • Complete and submit monthly reports by due date of each month.
  • Assist with completion of grant proposals and meet deadlines and guidelines of grant submissions.
  • Ensure all grants received are implemented according to guidelines and reporting deadlines are met.
  • Submit a weekly typed report to the Executive Director and the Director of Operations.

Property and Building Management:

  • Responsible for the upkeep of the Elizabeth Correll Teen Center building and its surrounding grounds as outlined in the Elizabeth Correll Teen Center Operations Manual.
  • Responsible for the upkeep of all indoor and outdoor equipment used in the Elizabeth Correll Teen Center as outlined in the Elizabeth Correll Teen Center Operations Manual.
  • Ensuring all “staff only” authorized areas are locked at all times and members are not allowed access to any area containing potential hazardous material.
  • Ensuring the safety of members and staff through proper maintenance of building, surrounding grounds, and all equipment utilized by members and staff.

 

Marketing and Public Relations:

  • Work in increasing visibility of Teen Center programs via posting of daily schedules and announcing upcoming events.
  • Assist in the development of advertising and promotion through mailings, fliers, and media releases.
  • Maintain contact as needed with external community groups, schools, member’s parents and others to assist in resolving problems or in creating opportunities.
  • Assist in ALL fundraising activities.
  • Adhere to all guidelines set forth in the Elizabeth Correll Teen Center Operations Manual concerning public relations, marketing, and media releases.
  • Submit all information to marketing director (ie: monthly newsletter, information boards, quarterly newsletters)

 

Relationships:

  • Maintain close, daily contact with Teen Center staff (professional and volunteer), Club members, Executive Director, and Director of Operations to receive/provide information, discuss issues, explain or interpret guidelines/instructions, instruct, and advise/counsel.

  • Maintain contact as needed with community groups, community leaders, school administrations, members’ parents, and others to assist in resolving problems or creating opportunities. 

 

Additional responsibilities:

  • Obtain a CDL to drive the Club bus/van periodically.
  • Adhere and implement all guidelines set forth by the Elizabeth Correll Teen Center Operations Manual.
  • Perform other duties as assigned by the Executive Director and the Director of Operations.

Qualifications

Qualifications:

 

-Four year degree from an accredited college or university, or equivalent experience

-A minimum of five years work experience in a Boys & Girls Club or similar organization planning and supervising activities based on the developmental needs of young people, or equivalent experience

-Demonstrated ability in personnel supervision, and the recruitment and retention of key personnel

-Strong communications skills, both oral and written

-Ability to recruit, train, supervise and motivate staff

-Ability to deal effectively with members including discipline problems

-Working knowledge of budget preparation, control and management

-Demonstrated ability in working with young people, parents and community leaders
