Overview

The Program Director is responsible for overseeing the planning, development, implementation and evaluation of a specific program for youth in grades 1st - 5th within a designated Club. Program responsibility supports our priority outcome areas of Academic Success, Healthy Lifestyles, Good Character and Citizenship. Communicate with parents as necessary regarding behavior and Club events. The Program Director also provides leadership and supervision to assigned programs and volunteer staff; manages budgets and controls expenses as assigned.

 

Salary Range: $37,500 to $42,500 per year; this is a salaried position

Essential Job Functions & Accountabilities 

Prepare Youth for Success

  • Plan and oversee the administration of designated Clubhouse programs and activities that support Youth Development Outcomes:
  • Establish Clubhouse program objectives consistent with organizational goals and mission.
  • Oversee the provision of day-to-day program activities in accordance with established standards and goals.
  • Ensure that members are encouraged to participate in a variety of program areas/activities and receive instruction and constructive feedback to develop skills in program area(s).
  • Demonstrate leadership to assure conduct, safety and development of members.

 

Program Development and Implementation

  • Establish and maintain Clubhouse program goals and settings that insure the health and safety of members. Ensure that site staff understand and effectively communicate standards of program; that they ensure program areas are safe, well ventilated and well lit; and that club equipment is maintained in good working condition.
  • Ensure the evaluation of Club programs on a continual basis and ensures programs/activities respond to member needs and address their gender and cultural diversity.
  • Control Clubhouse program and activity expenditures within the approved budget.
  • Seeks optimum use of club facilities, staff and resources to fulfill organization’s mission and strategic plan. 
  • Analyzes and reviews club’s membership levels and average daily attendance and develops and implements strategies to increase membership.
  • Plans and takes actions required to obtain community and volunteer support. 

 

Club Management & Staff Development 

  • Determines staffing levels and hours that best support effective club operations and program delivery. Develops agenda and conducts weekly staff meetings. 
  • Provides direct and indirect supervision to full and part-time professionals and recognizes accomplishments. 
  • Develops performance objectives for direct reports; monitors performance, provides on-going and periodic feedback on performance; ensures same activities are followed by club management. Identifies and utilizes interns and volunteers to support club initiatives. 
  • Maintain professional daily contact with Club staff, volunteers and members, as well as supervisor in order to receive/provide information, discuss issues, explain or interpret guidelines/instructions; instruct, and advise/council.
  •  Identify and support training and development opportunities for assigned volunteers and staff.
  • Handles crisis situations and takes action to resolve conflicts, disputes and/or concerns of staff, club members, volunteers, and/or parents. 
  • Allocate and monitor work assigned to program volunteers and staff, providing ongoing feedback and regular appraisal. 
  • Oversee proper record keeping and reporting including activities and events conducted, breakdowns of daily participation figures, notable achievements and any problems/issues.
  • Ensure productive and effective performance by all program staff and volunteers. 

 

Club Programs & Services 

  • Ensures designated and daily year-round and summer programs are delivered, that programs meet stated objectives, member needs and interests, and are organized and engaging; monitors programs and collaborates with staff to plan and implement improvements. 
  • Plans and implements procedures to measure and report outcomes. 

 

Community Relations & Collaborative Partnerships 

  • Participates in activities to maintain good public relations for the club's programs and services. 
  • Active in the community where the club is located with schools, service clubs and forms partnerships.
  • Collaborates with community leaders to support club-initiated programs and activities.
  • Coordinate with schools and administrative staff to continue program offerings at school sites
  • Participate in professional development sessions as required by Director of Operations (including but not limited to conferences and trainings provided by BGCA)
  • Supports organization’s fundraising initiatives. 
  • Purchases program supplies within the BGCNW’s yearly budget.

 

Club Facility and Property 

  • Assesses risk and implements programs and policies to minimize loss and exposure to loss. 
  • Plans and takes action to ensure the club is safe, attractive, and well-maintained.

 

Marketing and Public Relations

  • Increase visibility of Club programs via posting of daily schedule, announcements of upcoming events and the dissemination of timely information for the development of advertising and promotion through mailings, fliers and media releases.

 

Administrative 

  • Ensures information and other data maintained on programs, membership, etc. are accurate and timely; prepares club’s reports in an accurate and timely manner. 
  • Prepares accurate, timely paperwork required to hire, compensate, transfer, terminate and discipline employees; maintains and secures confidential club employee files and records. Prepares reports for Unit Board that describes the club's successes, challenges, opportunities and needs.
  • Demonstrate responsibility in regard to work schedule, meetings & trainings 
  • Keep equipment, binder, and supplies in order, well maintained, and in the proper location
  • Complete and submit paperwork accurately (timesheets, lesson plans, certifications, etc.)
  • Dress in appropriate attire/uniform
  • Maintain a positive attitude while working, help wherever needed, work well with co-workers
  • Display good customer service skills
  • Accept feedback and makes necessary corrections

 

Other

  • Increase visibility of Club programs via posting of daily schedule, announcements of upcoming events and the dissemination of timely information for Club members, parents and the public
  • Perform miscellaneous tasks as requested by supervisor
  • Ability to relate well to children and previous experience working with children required Relationships
  • Meet weekly with the Director of Operations. 
  • May oversee special programs and/or events (i.e. Keystone, Youth of the Year and Jr. Staff, and/or participate in the implementation of other unit activities as necessary.

 

PREFERRED SKILLS/KNOWLEDGE

  • College degree required. 
  • A minimum of two years experience working with children in a youth development setting with ages 6-18. 
  • Excellent communication skills and ability to communicate with staff, parents, volunteers and children. 
  • Good general computer skills including Word, Excel, Powerpoint and Outlook. 
  • Ability to plan and implement fun and exciting quality programs for youth. 
  • Ability to organize and supervise members in a safe environment. 
  • Obtain CPR and First Aid certifications within 3 month of employment
  • Valid State Driver's License

 

RELATIONSHIPS:

Internal: Maintains close, daily contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain guidelines/instructions; instruct; and advise/counsel.

External: Maintains contact with external community groups, schools, members' parents and others to assist in resolving problems.
